How to reduce PDF size for email or an upload

A few high-resolution photos or scanned pages often account for most of a PDF’s size. A text-only PDF may already be compact, while an image-heavy packet can be much larger than it looks. Start by deleting pages you do not need, such as a duplicate scan or an irrelevant appendix. Compare the downloaded file size; removing pages can help, but the amount saved depends on the document.

AdaPDF currently has no dedicated PDF compressor and cannot guarantee a smaller output from every workflow. Instead, use the tools that match the source material and compare the new download with the original before replacing it.

Rebuild a PDF under 1 MB when image quality allows

If you still have the original JPG or PNG images, create a PDF with image compression directly from those files. Under Image quality & file size, choose Balanced for a compromise between detail and size, or Smaller file for stronger compression. Original quality leaves images uncompressed. Images are not upscaled, and already optimized inputs may not benefit.

If you only have the PDF, first export its pages as JPG images, download and extract the ZIP, then rebuild the images as a PDF using Smaller file. This may help with a target such as 1 MB, but it is never guaranteed. The rebuild loses selectable text, links, form fields, signatures, and the original PDF structure, so keep the original and zoom in on small text after creating the new copy.

• Open PDF to JPG, select Standard image quality, convert the document, and download the ZIP.
• Extract the numbered JPG files, then open JPG to PDF and add them in order.
• Choose Smaller file under Image quality & file size, select Create PDF, then compare readability and bytes before sharing.

Use page cleanup and compare before sending

Delete blank pages and unneeded attachments first. Cropping uneven scan borders can improve the look of a page but does not reliably remove the underlying content, so it may not reduce the file much. Combining PDFs is also not a compression promise; a merged result can be similar in size or larger depending on its parts.

After each attempt, compare the download’s file size and read its smallest text. If the text is too soft, try Balanced instead of Smaller file. If an upload limit still blocks the document and separate files are accepted, extract the needed pages with Split PDF and submit smaller, clearly named parts. Increasing image quality improves readability but usually will not help you meet a tighter size limit.
