Check whether the form needs visible filling or official form fields
Some PDFs contain interactive fields that a PDF viewer can fill directly. Others are scanned or flat pages with lines and boxes. For a flat form, fill the blanks with visible text. For an interactive form, try the form’s intended viewer first and save a duplicate before making changes; text placed over a field can make that field noninteractive in the downloaded copy.
AdaPDF’s visible filling workflow is for creating a readable copy. It does not turn every line into an interactive field, validate the meaning of a form, or provide certificate-based digital signing. Read the recipient’s instructions if they require a particular signature method.
Fill out a scanned PDF form online without printing
Open Sign PDF, choose the form from your device, and select Fill form / add text. Enter a short answer and click where it belongs on the page. Work from top to bottom, checking each line before moving to the next page. Use Undo last mark if you place a mark incorrectly. If you need text boxes that you can select, move, and restyle repeatedly during the session, use Edit PDF instead.
Choose Typed signature or Draw signature when the recipient accepts a visible signature, and place it beside the signature label. Then select Save signed PDF, review the output, and download it. A visible signature can be useful for routine paperwork, but it is not the same as a cryptographic, certificate-based digital signature.
Download and inspect the filled copy
Download the PDF, open it in a separate viewer, and check every answer, signature placement, and page. Zoom in on narrow fields and confirm that no text overlaps a label. Keep the original unfilled form and the final copy separately.
If you need to search or copy printed labels from the original scan, recognize the form’s text with OCR PDF before filling it. Recognition does not improve faint text or verify your answers; proofread dates, names, identifiers, and small print. If the recipient wants the completed form and supporting documents together, merge the PDF attachments before adding the final visible signature, and keep separate originals.
